The Role
We are looking for a Management Assistant to join our Natural Foods Teams in St Albans. Working in a team of two, you will have overall responsibility for the office management and the main contact for ensuring all office logistics run smoothly. You are responsible for managing the vendors that provide services to the office, as well as for implementing office health and safety standards in compliance with UK laws.
As your role has interaction with many departments across the business and liaises with the Senior Management Team on a daily business, you will help foster the Lotus TOP values and act as a workplace champion and assist with the employee journey. You will be a buddy for new starters right through to assisting when an employee leaves the business.
You will need to have all of the above experience and be happy in a varied and busy role wearing various hats. Ideally someone who has worked in an SME so comfortable that you need to have an 'all hands on deck' mentality and also be professional and confident.
Key focus areas of the role itself and where you will spend the majority of your time:
- Office Management - Maintaining the office condition and arrange necessary repairs
- Assisting the General Managers
- General office admin
- Supporting the General Managers and their teams with PA activities as required
- Organise office operations and procedures
- Maintain control and update documents for H&S
- Provide general support to visitors
- Partner with HR to assist in the onboarding process for new hires and full employee life cycle
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Liaise with facility management vendors, including cleaning, catering and security services
- Assisting with ongoing projects to help further integrate the business with parent company
Profile
Alongside championing our Lotus Values of Team Spirit, Open Dialogue and Passion, the most important things we’re looking for from you are:
- Previous Office Management experience supporting Senior Managment
- Previous experience of working within process driven organisation
- Previous experience of managing heavy diary schedules, travel, meetings & events
- Excellent knowledge of MS Office including Outlook
- Experience of covering Facilities including knowledge around Health & Safety - dealing with contractors / maintenance
- Switched on, with lots of initiative
- Hard-working and proactive
- Highly organised and efficient
- Excellent communicator
- Self-motivated and able to work under own autonomy or as part of a team
- High level of personal organisation and attention to detail
- A positive 'can-do' attitude with creative flair
- Strong project management
